STAT Credentialing

Student credentialing Training for Advancing medical Technologies

Have you ever wanted to witness firsthand medical device innovation working alongside physicians and other clinical providers in the OR or at the bedside? Are you interested in gaining clinical hours to support your premed journey?

We are excited to invite you to participate in the BME Capstone Emory/Grady Healthcare STAT Credentialing Program!

What is this program and why should I participate?

BME Capstone is providing hospital badging for students taking Capstone. This is a fantastic opportunity to enhance your Capstone experience by granting you access to participate in clinical observations and enhance your voice of the customer activities throughout Capstone. Regardless of who your sponsor is and what project you work on, completing credentialing at both Emory Healthcare and Grady Healthcare allows you access to two diverse clinical sites in which you can observe clinical procedures relevant to your Capstone project.

While optional to participate, completing your credentialing is highly encouraged for all Capstone students to enhance your educational experience in Capstone and to help bring your med-tech innovation projects to life so you can witness the real-world potential impact of your Capstone project through observations in patient care settings. This is an opt-in program with strict deadlines requiring you to monitor your emails throughout the summer. We have designed this program to complete all of your observation requirements in time so you may receive your badges granting you access to Emory and Grady Healthcare locations in the first week to class.

STAT Credentialing is a privilege provided by the BME Department that should be taken seriously with the highest professionalism, and BME Capstone reserves the right to revoke access if concerns arise during the course.

How do I opt-in to participate in STAT Credentialing?

  • You will receive an email invitation to participate in a Capstone info session approximately a week or two before Phase 1 Registration Begins.
  • After you attend this info session, you will be invited to RSVP to participate in the program.
  • Once you have opted in, you will need to follow the detailed instructions provided below.

 

I have opted-in and I am ready to begin my application and training. Where do I start?

For Spring 2026 students:

  • You may begin with requirements listed in the link at the bottom of this page.
  • Complete STAT Badge Registration Microsoft Form to be registered for ACEMAPP and included in the STAT Badge program for Spring 2026 – due date: Sunday, November 9 at 11:45pm. No entries will be accepted after this date.
    • Mackenzie will upload the list of student names into ACEMAPP system and an account will be created for each student on Monday, November 10.
    • Begin completing ACEMAPP requirements – completion due date: Sunday, December 14 at 11:59pm.

Complete the following requirements AS SOON AS POSSIBLE:

  • QuantiFERON test at STAMPS
  • Order and complete background and drug test
  • *For students without access to campus in Spring 2024, contact MacKenzie for guidance.

Official deadline for completed documentation, background check, immunizations, and drug screening results is Sunday December 14th, 11:59pm EST!

What should I do if I have a question about STAT?

This guide is intended to help you complete these tasks in a timely manner according to the deadlines. If you have any questions regarding this credentialing process:

    Key Timeline and Specific Action Items:
    (*Timeline is subject to change and will be communicated by BME Capstone team).
    Specific instructions regarding each deadline’s task are provided in subsequent sections.

    • Two different systems will be used to collect all required information for credentialing:
      • Advantage Student – can be started immediately
        • Tuberculosis screening results
        • Background Check
        • Drug screening
      • ACEMAPP – must wait for account creation
        • Immunization History
        • Training
    • Complete STAT Badge Registration Microsoft Form to be registered for ACEMAPP and included in the STAT Badge program for Spring 2026 – due date: Sunday, November 9 at 11:45pm. No entries will be accepted after this date.
        • MacKenzie will upload the list of student names into ACEMAPP system and an account will be created for each student on Monday, November 10.
        • Begin completing ACEMAPP requirements – completion due date: Sunday, December 14 at 11:59pm.
      • Immediately & As Soon as Possible (due prior to dates listed below)
        • Advantage Students:
          • Submit information to begin background check and drug screenings ASAP.
          • Getting this in person visit scheduled and completed as quickly as possible is the rate-limiting step of the credentialing process.
        • Schedule the following with STAMPS
          • Schedule TB screening blood test (QUANTIFERON)
          • Schedule relevant immunizations and flu shot appointments (if applicable)
        • Starting November 10
          • BME Capstone will activate your ACEMAPP account
            • You will receive an email confirmation from ACEMAPP when this email invitation is available.
            • Please login and start completing your account information to the extent possible.
            • Complete all profile information, upload professional photos
            • Upload any immunization records you may have at present.
            • Begin working through relevant online training coursework
              • Emory Healthcare training should be available once your ACEMAPP account is activated
              • Grady Healthcare training should be added once you are assigned a Grady rotation
            • Sign all relevant legal forms and upload signed copies.
    • Sunday, December 14, 2025 @ 11:59pm EST
      • Official deadline for completed documentation, background check, immunizations, and drug screening results
      • Things you should do by this deadline
        • All ACEMAPP requirements documentation should be complete and updated to ACEMAPP by this deadline.
        • Your drug screening sample should be collected and background check completed with the results viewable via Advantage Students
        • Link your ACEMAPP Account to Advantage Students.
        • Complete all training orientation coursework available on ACEMAPP
        • Complete online HIPAA training quiz
      • Recognition of deadlines
        • If you do not complete all requirements by the semester deadline, Capstone will communicate you are no longer eligible to participate in Emory/Grady Credentialing
        • If you receive this notice after the deadline, you will NOT be eligible for reimbursement for the drug screen and background check
        • Special circumstances (i.e. international travel) are handled on a case-by-case basis (contact MacKenzie).

     

    • Before First Day of Lecture
      • Submit your reimbursement requests to MacKenzie for background checks and drug screens.
    • Spring 2026 Semester
      • Week of January 12th, 2026 (1st week of classes)
        • Receive your Emory and Grady badges after the second day of lecture
      • Duration of clinical site access
        • January 2026 – May 2026
        • After this period, your badge access will no longer be valid

    Required Student Fees:

    BME will cover or reimburse you for most required student fees provided you follow the instructions below. The following is a breakdown of the estimated fees you will be expected to cover and/or apply for reimbursement.

    • Covered by BME
      • The $50 fee required for your ACEMAPP user account registration.
        • There is no need to get this reimbursed. We pay this on your behalf when you agree to participate in Credentialing by officially accepting your ACEMAPP invitation.
        • If your plans have changed and you no longer wish to participate in STAT Credentialing, let MacKenzie know and do NOT accept your emailed ACEMAPP account invitation.
        • Accepting your ACEMAPP invitation finalizes your agreement and intention to participate in STAT Credentialing.
        • After this point in time, if you do not complete the requirements by the deadline, you will not be eligible for reimbursement for your drug screen/background check.
    • Reimbursed by BME *Please keep copies of all original receipts
      • Advantage Students Drug Screen and Background Check: approximately ~$100 total/student* (2024 value)
        • Do NOT request a “money order”. You need to pay for this expense up front (e.g. via credit card) and get reimbursed by the BME Department before the next semester
      • TB Testing: Reimbursed up to $100
        • Quick summary:
          • Quantiferon TB blood test will cover the requirement for both Grady and Emory
          • We no longer accept PPD skin testing
        • ~$82 if you are performing QUANTIFERON screening at STAMPS (2024 value)
          • Larger fees sometimes apply if you complete at a non-STAMPS location
          • NOTE: If the price for screening outside of STAMPS is more expensive than the $100 reimbursement rate, you are required to cover any additional expense
            • If this is your situation, consider billing your health insurance to reduce your out-of-pocket costs.
      • Student Financial Responsibility
        • Annual Flu Shot: $5-20 (Spring semester students only)
          • FREE if completed at STAMPS
          • FREE if you have health insurance and go to: CVS Minute Clinics, Publix, etc.
          • Cost of the flu shot and other immunizations will not be reimbursed.
        • Other immunizations
        • Other TB testing expenses not noted above
